The things that slip past you on camera are the ones people remember: a giveaway winner you never named, a raider you never thanked, a tip you never saw. Here is how Backstage catches each one the moment it happens, what it does with giveaway winners who did not buy, and why tips and promos never count as sales.

The sales take care of themselves; every one is in Seller Hub whether you noticed it or not. The things that do not take care of themselves are the ones that happen once, in a second, while you are holding an item up to the camera: a giveaway winner is drawn, a raid lands, someone tips, a first-time buyer wins. Miss the moment and the thank-you never happens.

Giveaways: the winner, and where they go

Whatnot runs three kinds of giveaways (open to everyone in the show, followers only, and buyer appreciation), and Whatnot draws the winner. The moment it does, Backstage records the winner as a card with their name, so you can say it on air and it does not scroll away.

Then it handles the part sellers get wrong at midnight:

On the Plus plan, a giveaway label prints as the winner is drawn, on Mac, Windows or the iPad, so the item is tagged like any sale.

Raids: the name to thank, while they are still here

A raid is a burst of new people arriving from another seller’s show, and the seller who sent them deserves a thank-you by name in the first minute, not a message the next day. Backstage turns each incoming raid into a card the moment it lands, with the raiding seller’s name and the size of the party. Raids go into their own section of the post-show file, never into your sales.

First-time buyers and repeat buyers

The first time someone buys from you is the moment they decide whether to come back. Backstage marks a first-time buyer with a star on the live feed, on the packer’s board and on the bin label, so you can welcome them on air and your packer can add whatever you add for new people. A returning buyer gets a repeat badge the instant they win again, and buyer history carries across your shows so you recognize regulars without checking messages.

Pending payments

A sale that is waiting on the buyer’s payment is flagged on the feed and on the packer’s board, and gets its own label if you print, so the item is not packed and shipped before the money clears.

Everything is on the manifest at the end

When you end the show, the manifest lists every buyer and every bin, plus promoters, tippers, raiders and giveaway winners by name, so nothing you meant to thank or ship is missing when you sit down to pack. The sales tracker guide covers what is recorded on each sale.
