Returns on Whatnot for Sellers: Final Sale, Buyer Issues, Refunds and Who Pays
Most Whatnot sales are final, but buyers can report an item that's missing, wrong, damaged or not as described. With Seller Provided Support, now rolling out to US sellers, those requests come to your Inbox and you have two business days to answer with a refund, a return, a partial refund, a replacement or an explanation. Who pays under Whatnot's Seller Protection, what happens when a package comes back to you, how appeals work, and the habits that prevent most claims. From Whatnot's help center as of October 2, 2026.
Most sales on Whatnot are final, but buyers can still report a problem. An item that never arrived, a missing piece, the wrong size, damage, or something that doesn’t match the listing all count. For US sellers on Seller Provided Support, those reports now come straight to you, and answering on time is one of the things that decides who pays. Backstage helps you avoid many of them in the first place: every buyer’s items stay in one bin during the show, so the right things go in the right box.
Here’s how it works now. Whatnot’s rules are from its help center as of October 2, 2026, and several of them changed this year.
What a buyer can report
Buyers can report an item that:
- hasn’t arrived or was substantially delayed,
- is missing, incorrect, or the right item in the wrong size or color,
- doesn’t match the description, condition or photos, or what was shown live,
- is defective, doesn’t work, expired, or spoiled,
- arrived damaged.
Buyer’s remorse isn’t on the list. Outside the EU and UK, if a buyer just wants to send something back, accepting is up to you, though they can ask Whatnot to review it.
EU and UK buyers are different: they can withdraw from many purchases within 14 days of delivery, for any reason. There are exceptions, such as break spots and other cards, blind boxes and Surprise Sets, opened beauty and health products, perishables, opened software and media, periodicals, and items like coins and bullion whose price moves with the market. The buyer pays the return shipping, and these returns don’t count against your account health.
Seller Provided Support: the request comes to you
Whatnot began rolling Seller Provided Support out to all US seller accounts on September 1, 2026. It’s already standard for new US sellers, and international sellers get it later this year. If you’re on it, a buyer’s request lands in the Customer Support tab of your Inbox, and you’re expected to answer within two business days. If you’re not on it yet, Whatnot Support handles the request. Your options:
| You choose | What happens | What it costs you |
|---|---|---|
| Full refund, no return | Buyer refunded in 3 to 5 days | The payout, the buyer’s shipping and the processing fee |
| Full refund after a return | Buyer has 10 business days to send it; you have 48 business hours after it’s delivered to confirm or dispute, or the refund goes through on its own | The same, plus return shipping |
| Partial refund | Agree the amount in Messages first; the buyer has 48 hours to answer | The partial amount if accepted. If the buyer declines, they get a full refund when they return the item |
| Replacement | Agree it with the buyer, ship within 48 hours | Your shipping label |
| Explain why no refund is due | Buyer can escalate to Whatnot | Nothing, unless Whatnot refunds |
| Ask for more information | Request photos or video | Nothing yet |
If you don’t answer in two business days and the buyer escalates, Whatnot steps in, may refund the buyer, and bills it back to your balance. It also counts toward Premier Shop: US sellers need to answer at least 95% of buyer requests within two business days.
Who pays: Whatnot’s Seller Protection
Whatnot covers it when there’s clear evidence it wasn’t you: carrier delays after an on-time drop-off, lost or misdelivered packages, and fraudulent claims. Chargebacks are handled by Whatnot, too.
You pay when the issue came from your side:
- A late or unverified shipment. Since March 2, 2026, for US domestic shipments, sellers cover refunds on late orders with no valid proof of drop-off.
- A policy violation, such as a prohibited or misrepresented item.
- Not answering a buyer or Whatnot Support within two business days.
- A high-value item you couldn’t fulfill, at full market value.
It can be shared when nobody can tell: a missing item, a condition mismatch or damage with no clear cause. Whatnot may cover the cost up to a reasonable limit. Repeated issues change that, and Whatnot can recover refunds across a pattern of orders.
Appeals: you get one per decision, within 14 calendar days of the billback. In Seller Hub, open the order and tap Appeal this decision. Send everything that adds context, like photos from packing, the label, tracking records and message history.
When a package comes back to you
If the carrier returns a package, contact Whatnot Support within 7 days: in Seller Hub, open the order and tap Get help with this order. They’ll help you reship or refund. Common causes are a bad address, short postage, a package the buyer didn’t pick up, or a refused delivery. If it was short postage, fix the weight on your shipping profiles so it doesn’t happen again.
The habits that prevent most claims
- Prove the drop-off. Scan every package with the in-app scanner right before hand-off. The buyer gets a photo, and you get the proof of drop-off Seller Protection looks for.
- Ship within two business days.
- Send the right item. A packing mix-up is the easiest way to end up with a “missing” or “wrong item” claim. Backstage keeps each buyer’s wins in one numbered bin all show and hands you a packing manifest sorted by bin, so you pack one bin per box. Turn on sale screenshots and most sales also get a photo, so you can see exactly which item sold.
- Pack it properly for the category.
- Take a photo while you pack anything valuable. It’s one of the most useful things you can send with an appeal.
- Answer within two business days, every time.
